SAP Central User Administration

Keeping SAP user management clean is no small task: critical authorizations, SoD conflicts, and the manual review and maintenance of users don’t just eat up valuable time – they can create serious security vulnerabilities in your organization. Central user administration helps address these challenges by consolidating user master records together in one place and allowing you to manage them from there.

We explain exactly what central user administration in SAP is, how it works, and which transactions are most useful for user management.

What is Central User Administration in SAP?

Central User Administration (CUA) in SAP enables you to manage user master records consistently across multiple SAP systems. This is especially useful for organizations with complex SAP landscapes that need consistent user and authorization management.

How does SAP CUA work?

With central user administration, user master records are maintained in a central system and can be distributed  to connected systems in a controlled manner. This allows SAP users to be managed consistently, which significantly reduces administrative overhead.

With CUA, data exchange between the central SAP system and the target systems is handled through ALE (Application Link Enabling) and RFC mechanism (SAP Remote Function Call) technology.

SAP CUA is based on a central-system concept where one SAP system acts as the master for all user data.

The way central user administration works rests on 3 core principles:

  1. Central user master maintenance: all user data is maintained centrally.
  2. Targeted distribution: changes to user master records can be automatically distributed to all connected target systems.
  3. Local authorizations: while master data is managed centrally, roles and authorizations can still be assigned individually within each system.

What are the Benefits of Central User Administration?

Thanks to its centralized structure, CUA offers many organizational and security-related benefits for SAP user management:

  • ✓A clear overview of all user master records across the system landscape
  • ✓Consistent data across all systems
  • ✓Better compliance through uniform documentation
  • ✓Authorization concepts can be implemented more easily
  • ✓Faster provisioning of new users and roles
  • ✓Centralized troubleshooting, e.g., for incorrect authorization assignments

SAP User Management: Key Transactions at a Glance

Which transactions work best for user management in SAP?

Here’s an overview. For a step-by-step walkthrough of how to create new users and set up roles, see our guide on how to create SAP users.

Displaying SAP User Data

Administrators can also view detailed user data through transaction SU01. Select the desired user and click “Display.”

Tip: use transaction SU01D to open a read-only view of user data. This is particularly useful when auditors or helpdesk staff need to access user data, whilepreventing accidental changes.

Locking and Unlocking SAP Users

To lock or unlock individual SAP users, open transaction SU01 and select the “Lock/Unlock” option. Note that user locks only take effect on the user’s next logon. Users who are already logged in remain active in the meantime.

Transaction SU10 lets you lock and unlock multiple users simultaneously, which is especially useful during maintenance work or system upgrades. In CUA environments, lock and unlock actions can also be distributed automatically from the central system to all target systems, enabling users to be locked or unlocked globally across the landscape.

Maintaining SAP User Parameters

Transaction SU3 lets users maintain their own user data. After opening SU3, users see the following three tabs:

  • General tab
  • Fixed Values tab
  • Parameters tab

To maintain their own user parameters, users follow these steps:

  1. Select the “Parameters” tab
  2. Enter the parameter ID (e.g., “BUK” for company code)
  3. Enter the parameter value
  4. Save the data

The new user parameters are stored in SAP memory and apply to all sessions for that user. They define default values for SAP fields, which are then filled in automatically when the user works in the system. This significantly simplifies daily work, particularly for recurring tasks and data entry.

FAQ

From which Release is SAP CUA Available?

Central User Administration is included as standard in SAP NetWeaver and has been available since R/3 Release 4.5.

A personal user ID is a unique identifier for each SAP user that serves as the username in the system. The ID must be unique within a client and must follow certain naming conventions (e.g., a maximum of twelve characters). It is used to log on to the system and is linked to all user-relevant master data such as roles, profiles, and personalization settings.

User groups in SAP can be used to structure and manage users with similar roles or responsibilities. The primary purpose of grouping is to categorize users so that administrators are given exclusive access only to the user groups assigned to them.

Users are assigned to user groups via the “Group for Authorizations” field in transaction SU01, where administrators can specify the desired group for each user. Administrators can also maintain this field using transaction SU10.
